
A useful quality claim is not an argument; it is an evidence package that allows the supplier to identify the product, reproduce the issue and decide on corrective action. “The part is bad” is not enough for either side.
Identify the product and batch
Provide the customer SKU, supplier code, OE number, carton label, batch or production code and purchase-order number. Photograph all markings before the product is discarded.
Record the vehicle and installation
Include make, model, chassis code, VIN where appropriate, production year, installation position and installation date. State who installed the part and whether connected components or wheel alignment were checked.
Describe the symptom precisely
Noise, looseness, leakage, vibration, poor fitment and physical breakage are different failure modes. State when the symptom occurs and the mileage or operating time before it appeared.
Take useful photographs and video
- Full view of the product and installation position.
- Close-up of the failed area.
- Part markings and carton label.
- Comparison with the old or correct part when fitment is disputed.
- Measurements with a visible tool for dimensional issues.
- Video showing movement or noise where safe and practical.
Keep the failed component
Do not destroy or return it without agreement. The supplier may need the component for sectioning, material testing or comparison with retained samples. Store it in a way that does not create additional damage.
Separate one case from a batch trend
State how many pieces were sold, installed and reported. One installation problem and a repeated batch failure require different responses. Provide serial or batch information for every affected unit.
Agree on immediate and long-term actions
Immediate actions may include replacement, credit or sorting stock. Long-term actions may require a root-cause report, process change, packaging change or application-data correction. Set dates and responsible contacts.
A consistent claim form protects the buyer’s customer relationship and helps the supplier improve. It also creates evidence for deciding whether the issue is isolated or requires wider stock action.
